Email fields

To identifies the main recipient. Cc sends a visible copy to others. Bcc hides those recipients from one another and is useful when sending to a group whose addresses should not be shared. The subject should state the purpose briefly.

Reply sends to the sender; Reply All includes other visible recipients. Check the list before using Reply All.

Attach the correct file, wait for uploading to finish, and mention it in the message. Check the filename and content before sending. Large files may be better shared through a controlled cloud link.

Unexpected invoices, shared documents, password resets, and urgent requests deserve verification through a known phone number or website.

Clear online messages

Begin with the action or question, include necessary context, and avoid sending sensitive personal data unless the channel and recipient are appropriate. Written messages lack tone, so straightforward wording is usually better than sarcasm or ambiguity.

Video calls and chat

Test the microphone, camera, speakers, and connection before an important call. Mute when background noise is unavoidable. Know whether chat messages or recordings are retained by the service or organization.

Do not accept unsolicited remote-control requests. Screen sharing can expose notifications and open files, so close unrelated material first.
