Use styles and structure to make documents readable; use formatting sparingly to support the content.

What you will be able to doUse the ideas on this page to complete practical tasks and make safer choices on an everyday computer.

Create and save

Start a new document, give it a meaningful filename, and save early. Confirm the folder rather than accepting an unknown default. Save during work, even when the application also saves automatically.

Keep the editable format for future changes and export a PDF when a fixed sharing copy is useful.

Edit text

Click to place the insertion point. Select text before replacing, formatting, copying, or moving it. Use Undo immediately after an accidental change. Spell-checking catches many errors but cannot judge meaning, names, or every grammar choice.

Format for readability

Use heading styles for sections, normal paragraph text for body copy, and lists for steps or related points. Avoid using spaces to align columns; use tabs or a table. Page breaks are more reliable than pressing Enter repeatedly.

Readable documents normally use a small number of fonts, adequate line spacing, clear contrast, and descriptive link text.

Review and share

Use Print Preview or PDF export to check page breaks, margins, headers, and footers. Remove comments or tracked changes when they should not appear in the final copy. Confirm that shared files do not contain unintended personal information or hidden content.
